New TC Roster Management Tools- comments please
Chairs,
We know how difficult the current process for managing
your TC roster has been for you, especially in light of the process for Primary
Contact Approval of TC Members.
The following describes how this process is proposed to change. I’d like your feedback on this, so we can
tweak this process to best serve you and the TC Process.
Design parameters of this
tool:
- Reduce the need for manual roster management by Chairs
and Secretaries
- Make the “Join this TC” process easier for
everyone
- Automatically add approved members to the
roster
- Protect unapproved participants from being
inadvertently misinterpreted as approved members
- Serve as framework for future roster management
automation
This new tool is web based, as opposed to the old email
permissions process, and is as easy as 1-2-3!.
When joining, the
applicant will see the new Join Page (2 screen shots below). The system will send an email to the
applicant’s organization Primary Contact (or the applicant themselves, in case
of Individual and Associate members) and direct them to a web interface where
they can approve their employees.
(Requests to join as an Observer are automatically approved and the Primary
Contact is sent a notification email.)
The Primary
Contact (or Individual member) will use the web interface to confirm the TC
Membership.
The approved applicant’s name is automatically added to
your TC roster—in the right role (Observer or Member).
With this new tool, you will not be required to track
and respond to emails from Primary Contacts or manually transition approved
applicants to TC Members. This
will be especially helpful when launching a new TC. You will no longer need to worry about
Applicants and Prospective members!
When introduced, later in March, this tool will only
manage how OASIS participants join a TC. The next version will allow for TC Members to
modify their ongoing role in the TC. We expect Version 2, next
quarter.
