Event Plan Update
All,

Louis, Jane and I just concluded a call
with Péter Szakál and Attila Suhajda to review our ODF InterOp Demo Event
Plan.

To bring everyone up to date on the
discussion, here is the list of questions Jane asked with answers from
Péter and Attila. I have appended some additional details prefaced by 'Note:'
below.

Q: Is there a confirmed day and/or time
for our Interop presentation/demonstration?  Or is that still being
defined?   Typically an Interop of this nature works best if allocated
at least 90 minutes on the program agenda.    


A:Day isn't fixed yet, but the first day is recommended to the demo


Note: We discussed this question and agreed as a sub-team,
to propose the event be conducted on 'Day 2', or Thurs., Sep 2, 2010. This
will allow for our publicity and communications to have a better effect.
We agreed that a brief announcement, highlighting the OASIS ODF InterOp
Demo be presented during the opening ceremonies on Day 1 (Sep 1), as part
of the plenary programme.



Q: Our draft technical needs for the Interop include:   computer projection
unit, screen, wireless microphones for participants, electricity for participant
laptops (7 or 8), laser pointer, and Internet connectivity for participants
(again 7 or 8 – wired or wireless).   During our conference call,
it was mentioned these are standard items and will be supplied by the conference
organizers.   Could you please re-confirm?

A:Yes this technical infrastructure will be provided 
Note: This means we can plan the technical aspects to
be conducted on (6) separate laptop computers representing the participant's
individual implementation. The sharing of ODF documents will be done with
network connectivity (not USB sticks. :) )


Q: How much time would our group
have to set-up for the Interop prior to the start time?

A: No time constrain but recommendet to prepare and test the infrastructure
a day before the demo. 
Note: We suggested that the InterOp participants will
plan to arrive early in the week; e.g. Sunday or Monday. Rehearsals will
be accomodated on the Central European University campus on Tuesday and
Wednesday. Peter is confirming the room reservation for the preparation
and final testing accordingly.



Q: It was also mentioned during our last call that the University would
be the best host location for our Interop.  Is that still the suggestion?

A: Yes  

Note: We requested a map of the campus
and conference rooms be provided. Peter indicated he would make it available
soon.


Q: Also, we are assuming that most of the conference presentations will
take place at this location as well. We suggest that the Demo/Presentation
venue be co-located with the most convenient access and visibility to conference
attendees.

A: We suggest to use the largest conference room for the demo. In addition
it could be the first program that day, 

Note: This means the ODF InterOp
Demo will be the first event of Day 2. We suggested it be held as the leading
event in the ODF Track on Day 2.


Q: Will this year’s event include exhibits?

A: Yes, but we don't know how many exhibitors will be there.  

Note: We discussed the requirement to have the exhibit
area co-located in the same building where the conference sessions will
be held. Peter confirmed this is the plan. Jane is seeking more details.



Q: If so, will they also be held at the University along with the conference
presentations?

A: yes



Q: If OASIS (and our Interop group) wanted to continue our demonstration
throughout the conference – would OoCon be interested in having us participate
in the exhibit area?  If so, who at OoCon should OASIS reach out to
discuss this option further?

A: yes, but let's discuss the details..



Q: Would it be possible to have a small meeting room the day before our
session?  The group will not be meeting face-to-face until the conference,
so this would really us prep for the Interop.

A: Most probably yes, but we have to check the availability.

Regarding the need to execute a coordinated
Communications Plan between OASIS and the OpenOffice.org Conference host
committee, we set a target date of July 15th to begin to post details of
the event on both the OASIS and OO.o Conference web sites. In order to
meet this target date, we agreed to convene a conference call early next
week with Carol Geyer, OASIS Communications Mgr.and Peter and Attila.
